Need For The Secure Pay Portal:

Traditionally, the manual human-driven process of invoicing has proved to be very time-consuming, laden with errors, and expensive. These processes are also quite inefficient and labor-intensive. To that end, there was a need to develop an application to help with invoice processing. This called for a switch to an electronic invoice system to help improve efficiency and allow for fewer invoice disputes.
The client identified the need to create a platform that, without error, would generate invoices through an organization management portal, which would allow for a set number of subscriptions in order to avail of this service.

Our Solution:

For the purposes of this project, all the needs and requirements were collected from the client through a series of client demos, emails, and remote video meetings. The client wanted a project to be built from scratch and customized for the B2B (business-to-business segment) as a web application. The project was of a medium-level complexity and constituted a business process solution and an organization-managed type of solution. For the purpose of this project, a full-fledged development approach was taken with a dedicated team assigned to the client in order to create an e-invoice portal that fulfilled the needs and requirements of the client.

For our research, going into this project, we took a look at similar existing applications in the market. These included Wave (for growing businesses), PayPal (simple invoicing solution), Zoho (free invoicing with a mini-CRM), and Invoicera (Invoice Automation). To follow this, we then formed a firm understanding of the payment gateway systems, banking applications, and calculation formulas that were integrated. We also took time to understand the project taxation system before embarking on the development of this project.

The major modules of the project consisted of the following:
The Inventory System module serves to allow organizations to add their own products to the project. They can then consequently track the sale of the product for inventory control, accounting, and tax purposes. The Customer Management module allows and empowers organizations to self-manage customer payment details, invoices, and subscriptions.
Through the Organization Management module, the system is essentially utilized by multiple organizations in order to create invoices and consequently process them by using a secure payment gateway system. This particular feature helps the owner, or the super admin of Secure Pay, to analyze and self-manage their subscriptions. The Invoice Processing module involves dealing with the complete cycle of receiving a supplier invoice, approving it, establishing a remittance date, paying the invoice, and consequently recording it in the system. Through the Email Notification module, organizations can send email notifications for payments being received and any pending information to the organization and customers.

The biggest risks that our team needed to consider in this project were ensuring the security and reliability of the payment received, pending payment, and payment calculation. In order to mediate these risks, we used the based payment gateway and ensured that calculations made in generating and distributing invoices were done so on a regional basis.
