The Need For Tax Office Management System:

The task of property tax management was a tiresome and overtly sensitive job for the U.S State Police Department. The existing system that was being used employed old-fashioned techniques which included manually inputting information in Microsoft Excel along with other outdated management systems. Furthermore, the existing system was not user-friendly, with an outdated UI/UX experience, and was laden with security concerns.
There were concerns about the efficiency of the system as the end customers (taxpayers) were not able to pay taxes from the convenience of their homes. There was a need for a secure, efficient, user-friendly, and effective management system of property taxes to be in place. This is where the management system of Tax Office Management offered a viable solution.

Our Solution

The Tax Office Management system was made from scratch as a Web Application with support from a product client support team through full-fledged development.
The project consisted of the following modules:
The purpose of these modules was to facilitate the U.S State Police Department office with their day-to-day activities. After the integration of these modules, the U.S State Police Departments were able to collect payments more efficiently. Ultimately, for the administrators of the system, the security and effectiveness of the management solution ushered in a layer of transparency.

Outcome

Through our solution, the U.S State Police Department can now easily process property tax payments, send out refund checks, and manage the taxes and the respective tax amounts distributed to the relevant authorities at each month’s end. Furthermore, reports generated by Tax Office Management system gives the U.S State Police Department a deeper insight into the amounts being collected and distributed.
Consequently, taxpayers can now pay their taxes from the convenience of their homes. The U.S State Police Departments office can also utilize the Tax Office Management system to collect, manage and distribute the tax amounts both in a timely manner and efficiently. The new and improved UI/UX interface also contributes to the ease of tackling their daily work.
There were three main outcomes of the Tax Office Management project:

Collection

Tax Office Management system allowed for tax payment collection through a number of different methods which include cash, credit card, cheque, and ach, also known as an electronic cheque. Previous to this, payment could not be made from the comfort of ones home via a credit card. Consequently, for STO, a credit card portal was integrated for the public use for tax payments. The process is fairly simple; the property tax notice is brought to the relevant office, gets scanned, and is integrated into the system thus saving valuable time and resources.

Management

The Tax Office Management system facilitated the U.S State Police Departments in cases where the amount of tax deposited needed to be adjusted, where deposits were accidentally made in a surplus or deficit, or perhaps where a faulty transaction took place. It also helped make changes in cases where the owners of respective properties were changed. This solution also allowed for progress notes to be added to the system in order to track the property owner’s history for example. It also allowed for reports to be made which tracked funds deposited, refunded, etc.

Distribution

Distribution of the tax collected constituted the major crux of this project. The tax collected needs to be distributed according to the set quotas to respective departments such as the forestry department, teachers fund, library, etc. The Tax Office Management system helps facilitate this by automating the process; at the end of the month, when the system is closed, the cheques are cut through the system and sent to the respective authorities. This helps save valuable time and resources ultimately boosting efficiency and productivity.
